Selecting the right Microsoft Teams Rooms hardware

A Microsoft Teams Rooms system is fundamentally different from a standard video conferencing setup. Instead of joining a meeting from a laptop, the room itself hosts the meeting — a dedicated compute device runs the MTR application, a touch controller manages calls and content sharing, and the camera, microphone, and speakers are purpose-matched to the space. The result is a consistent, one-touch meeting experience that IT administrators can monitor and manage at scale through the Teams Admin Centre. Microsoft Teams Rooms hardware is available in both Android and Windows-based architectures, with Android systems typically preferred for small and medium rooms due to simplified deployment and reduced maintenance requirements.

Teams-certified hardware spans a wide range of form factors and price points. Logitech's Rally Bar and Rally Bar Mini are Teams-certified all-in-one video bars that integrate camera, compute, and audio into a single unit, making them a practical choice for small and medium rooms with minimal cable management. Poly's Studio X family takes a similar approach, with the Studio X52 and Studio X72 stepping up to handle larger spaces with higher-resolution tracking and wider field-of-view optics. Yealink's MeetingBoard combines an interactive display with integrated MTR compute and audio — suited to rooms where whiteboarding and content annotation are part of the workflow. Neat's appliances, including the Neat Bar Pro, prioritise a clean aesthetic and tight Microsoft ecosystem integration. Crestron's Flex systems provide a modular, component-based architecture for organisations that need custom layouts or existing infrastructure reuse — particularly common in boardroom and executive room builds.

Room size is the primary selection filter. As a general guide, a compact all-in-one bar suits spaces up to around 6–7 metres; rooms beyond that typically benefit from a dedicated PTZ camera paired with a standalone audio system to maintain voice clarity and accurate framing across the full seating area. For spaces at the larger end — boardrooms, training rooms, multi-purpose halls — a modular compute-plus-peripherals approach gives the flexibility to specify each component independently.

Licensing is a separate consideration: MTR certification applies to the hardware, but devices also require a Microsoft Teams Rooms licence (Basic or Pro) assigned to the room account. Basic covers core meeting functionality at no cost per room; Pro adds intelligent camera features, device analytics, and remote management. For organisations already managing a fleet of rooms, the Pro tier's admin tooling is often the deciding factor.
