The hardware that works in a small or medium meeting room stops working in a large room for physical reasons, not configuration ones. A conference bar camera rated for a 5-metre room cannot frame a 12-metre table. A bar microphone designed for 6 people cannot pick up clearly at the far end of a 16-seat boardroom. Large meeting rooms need purpose-built components — a PTZ camera with genuine optical zoom, a distributed microphone array or ceiling mic system, and a compute unit with enough processing power to handle 4K camera input and dual display output simultaneously.

The single most common large room mistake in Australian deployments is buying hardware matched to headcount rather than room depth. A 12-person room that is 10 metres deep needs fundamentally different hardware to a 12-person room that is 5 metres deep. Start with room dimensions, not seat count.

Selecting the right large meeting room equipment

As a general guide, 12x optical zoom suits many large conference rooms up to around 9 metres in depth, while rooms approaching 12 metres often benefit from 20x optical zoom models. Audio coverage matters more than camera resolution in large rooms. A ceiling microphone array or distributed expansion mic system ensures every seat at the table is heard clearly by remote participants — the most common large room complaint is participants at the far end sounding distant or dropping out entirely. For rooms over 6 metres, a single bar microphone is rarely sufficient.
